AHIMA® and HCPro® Event Conduct Policy

Background

AHIMA and HCPro are committed to providing a safe, productive and harassment-free environment at its meetings, conferences, and other AHIMA/HCPro events. AHIMA and HCPro promote equal opportunities and treatment for all participants. All participants are expected to treat others with respect and consideration, follow venue rules, and alert staff or security when they have knowledge of dangerous situations, or see individuals in distress, that would be in violation of this Event Conduct Policy.

Prohibited Behavior

AHIMA and HCPro prohibit any form of harassment, sexual or otherwise. Accordingly, some behaviors are specifically prohibited, whether directed at other attendees, AHIMA/HCPro staff, speakers, exhibitors, or event venue staff:

  • Harassment or discrimination based on race, religion, gender, sexual orientation, gender identity, gender expression, disability, ethnicity, national origin, or other characteristic protected by applicable law.
  • Sexual harassment or intimidation, including unwelcome sexual attention, stalking (physical or virtual), or unsolicited physical contact.
  • Abusive, threatening, intimidating, or harassing conduct, including yelling at or verbally or physically confronting another individual in a hostile manner.

Participants asked to stop engaging in hostile or harassing behavior are expected to comply immediately.

Application of Rules

These conduct rules apply to all attendees and participants at any AHIMA/HCPro events. All who register to participate, attend, speak at, exhibit, volunteer, or network at an AHIMA/HCPro event agree to comply with this Policy at all times during the event. This includes scheduled sessions, social events, networking activities, meals, receptions, online forums, and informal interactions, regardless of whether the activity appears on the official event agenda.

Reporting Prohibited Behavior

Harassment or other violations of this Event Conduct Policy should be reported immediately to AHIMA/HCPro staff either in person or in writing by email at conduct@ahima.org or other means of reporting. AHIMA/HCPro may involve event security and/or local law enforcement, as appropriate based on the specific circumstances. Event attendees and participants must also cooperate with any AHIMA/HCPro investigation into reports of a violation of this Event Conduct Policy by providing all relevant information requested by AHIMA/HCPro.

Potential Consequences

  • AHIMA/HCPro reserves the right to remove any participant whose social attention becomes unwelcome to another and who persists in such attention after their unwelcome nature has been communicated.
  • AHIMA/HCPro also reserves the right to remove any participant or attendee who appears impaired and engages in conduct that disrupts the event or interferes with the safety or participation of others.
  • AHIMA/HCPro may remove any individual from attendance or other participation in any AHIMA/HCPro event, without prior warning or refund, if in its reasonable judgment, AHIMA/HCPro determines a violation of this Event Conduct Policy has occurred.
  • If AHIMA/HCPro, in its reasonable judgment, determines that an individual has violated this Event Conduct Policy, AHIMA/HCPro may also prohibit the individual from attending or participating in future AHIMA/HCPro events.
  • AHIMA/HCPro may, in its discretion, inform reporting individuals that appropriate action has been taken.
  • Retaliation against any individual for reporting concerns or participating in an investigation is prohibited.
