Exhibitor Move-In

  • Sunday, April 7, 2024 – 8:00am to 6:00pm
  • Monday, April 8, 2024 – 8:00am to 1:00pm*

*All shipping containers and boxes must be removed from the exhibit hall floor by 1pm so ICC staff can start to prep the space for the Welcome Reception which starts promptly at 4pm.  You can keep setting up your booth until 4pm.

NOTE: Exhibitor space is a public space.  While we will have security in the space during overnight hours, we STRONGLY suggest that you do not leave anything of value or personal items in the exhibit hall unattended.

Booth Details

All booths will be equipped with a 6ft. draped table, wastebasket, and two chairs. Additional furniture is available for rent through our conference decorator, Shephard. Please see eKit linked below for information.

An Exhibitor Kit (eKit) has been emailed to you as an exhibitor, but if you wish to access the website for the eKit click here.

The event floor is NOT carpeted, so each exhibitor/sponsor is  required to purchased carpeting for their boothIf the exhibitor does not order carpeting, Shepard will lay carpeting for you and charge for the service.

Raffles: ACDIS will be announcing winners of their own raffles on the last day of the event. However, due to size of the event, we will NOT announce winners of exhibitor or sponsor raffles.  Should your onsite team choose to execute a raffle, each exhibitor or sponsor is responsible for selecting and connecting with their winners.  We can list the winner in our conference app (should your team provide us with a name). However, it is up to your team to ultimately connect with your raffle winner(s).

Inbound shipping details: We STRONGLY suggest that exhibitors ship all booth related packages to the Shepard warehouse in advance.  The first day Shepard warehouse will accept deliveries for this event is Friday, March 8, 2024 and the last day for shipment deliveries for this event is Friday, April 5, 2024.  Advanced warehouse shipping address information per the eKit: (edit bolded information to fit exhibitor details):

NOTE: If your team decides to ship packages to event site directly, ACDIS and Indianapolis Convention Center staff are not responsible for any lost or misplaced packages. It is our recommendation that you ship all packages to Shepard to ensure delivery to event site.

Booth Rules

All food must be purchased through the Indiana Conventer Center service center. NO outside food will be allowed in the exhibit hall.  This includes individually wrapped, snack size candy. Details on how to purchase these items will be provide in the eKit.

We ask that all exhibitors adhere to our no amplified sounds in the exhibit hall rule.  This includes the use of microphones for demos, singing, and entertainment in the exhibit hall.

Any exhibitor or sponsor that wishes to have any type of booth services (entertainment, food, beverage, etc.) must provide this information to Mary Ann Genovese in writing before the event.  No entertainment/service will be allowed in the exhibit hall without written approval from ACDIS.

If you are planning any kind of event at the hotel, you MUST contact the hotel for their assistance regarding any food & beverage and entertainment. Hotels have strict policies regarding outside vendors regarding food and services (photographers, music, etc.).

We do not validate parking at event location.

Please note that Indianapolis is expecting record numbers of visitors during the dates of our event due to a full solar eclipse event taking place on Monday, April 8th. It is very important that all exhibitors book hotel rooms in advance because once our room block sells out it will be difficult to obtain rooms.  We strongly suggest you book a block of rooms for your team now, and cancel if you need to, versus waiting until you have a confirmed number.

Additional Details

Team Registrations:  Information to register your team to attend the event has been sent to main contacts via email. The email includes information on number of complimentary registrations you team has, and how to purchasing additional discounted registrations.  Rates for discounted exhibit only passes are $495 and full conference passes are $880. If you have any questions, please email Mary Ann Genovese directly. 

Lead RetrievalLead retrieval will be available to all exhibitors and sponsors for the 2024 event.  Details will be provided to you via email from Mary Ann Genovese once they become available.

Restaurants – if your team is looking to host a dinner or gathering, here is a list of local resturants.  Some of our recommendations are: OP Italian (Italian fare, located at the JW Marriott), Harry & Izzy’s (Steakhourse fare, 5-minute Uber ride from JW Marriott), Nada (Mexican fare, walkable from the JW Marriott), Livery (Latin fare, 5-minute Uber ride from JW Marriott).  Be sure to book space soon!
